Accounting

  • Question:
    Does the CoreBridge Management System integrate with QuickBooks?
    • Answer:

      Yes. Built into the system is an easy to use integration tool that syncs all your data in CoreBridge to QuickBooks. All invoices, prices, receivables, payments, customers, and pretty much everything else you might want integrate for easy integration with your accountant.

  • Question:
    Do I need to use QuickBooks to send out Invoices or manage my receivables?
    • Answer:

      No. This is one of the great things about the CoreBridge Management System. Quickbooks is only needed to handle your payables and related back-end accounting needs. All of your front-end accounting that deals with customers including invoicing, collecting and managing payments, tracking your AR's, assigning customer credit terms, running sales reports, etc., are all handled easily through CoreBridge. This allows you to virtually run everything through one system. There is even a convenient accounting module that helps your accountant or bookkeeper integrate directly with QuickBooks.

  • Question:
    Can I collect payments through the CoreBridge Management System? Is the system PCI compliant?
    • Answer:

      The Corebridge Management system is fully PCI compliant and integrated with internet payment gateways allowing your employees to collect payments directly through the system with your own merchant account. Your customers will also have the ability to pay their bills online through their portal. They will also automatically receive email notifications as their bill due date approaches with a link to pay their bill.

  • Question:
    Can I use other accounting systems other than QuickBooks with the CoreBridge Management System?
    • Answer:

      Yes, but currently QuickBooks is the only back-end accounting system that is fully supported. All reports can be exported in many formats. Most accounting systems allow you to then import these files to their systems. Our system is also built with a fully functional API that will allow you to build custom integration with any accounting software. Email us if you have specific questions about a platform or the API.



Billing and Account

  • Question:
    What are the payment methods you accept? Can you invoice us for payment?
    • Answer:

      We accept all major credit cards (Visa, MasterCard, American Express and Discover). We also can set up an ACH debit transaction for you if you prefer. All payments are automatically charged or deducted from your account at the beginning of each billing cycle. Invoices are automatically emailed to the administrator on the account every time you are charged.

  • Question:
    Can we export our data if we don't want to use the CoreBridge Management System anymore?
    • Answer:

      Yes, you can export your complete history (estimates, invoices, etc.), customer data, employee data, parts, etc. All data can always be exported as a CSV file, Excel, Word or other common file types. Other data types are available upon request.

  • Question:
    How do we cancel?
    • Answer:

      The administrator on the account is the only person who can cancel the service. To cancel, simply send an email to "billing@corebridge.net" with your cancellation request at least 5 days prior to your next bill date or click on the "Cancel Account" link in the management system. You will receive a response email within 48 hours of your request with a confirmation link that confirms your desire to cancel. Once you click on the link and hit confirm on the resulting page your account will be cancelled and you will not be charged again.

  • Question:
    What is the refund policy?
    • Answer:

      The CoreBridge Management System is a pay-as-you-go service so we don’t provide refunds. You are billed each billing interval according to the service plan you selected. You can change plans at any time. You can cancel the service at any time and you won’t be charged again. However, you are responsible for any charges already incurred.



File Management

  • Question:
    Can I attach a layout of each product for easy identification and reference?
    • Answer:

      Absolutely! In fact our system is designed around this. After a design is ready to go, the designer uploads the proof to the system and an email is automatically sent to the customer notifying them of the proof awaiting their approval. They can then approve the proof or note the changes they want made which are then immediately sent back to the designer and reappear in the work queue without any effort on anyone's part. Any attached proof stays with the order so customers, and employees will have access to it for quick viewing while working on the job or for looking up an older order.

  • Question:
    How will the CoreBridge Management System make it easier for my team to track files related to specific jobs?
    • Answer:

      Each individual product stored in the system has the ability to store and keep with it: proofs of the product, any customer provided artwork, text or other documents, logos, and even the native original design files. This enables anyone editing the job in the future to have immediate access to the native files and any files related to the job without having to search everywhere for them. Production employees will also have immediate access to their print ready files. Another great part of this feature allows customers to upload their own files directly to the order through their customer portal, eliminating the need to manage an FTP site.

  • Question:
    Can my customer upload their files through the system?
    • Answer:

      Yes. Through their customer portal, each client has the ability to upload files for each job. The files are automatically filed and attached to the correct order for easy reference by your employees. The system also notifies your employees when the customer has uploaded files so no time is wasted.



Miscellaneous

  • Question:
    Can we export our data if we don't want to use CoreBridge anymore? What format is the export in?
    • Answer:

      Yes. Included with every plan is the ability to sync your data with QuickBooks as often as you like. This gives you an immediate backup of all of your data. You can also export your data in a variety of common formats as often as you like.

  • Question:
    Can you customize CoreBridge for our organization?
    • Answer:

      We are always looking for ways to improve and enhance the software. If you have suggestions or ideas on ways to improve the software or would like to see some specific functionality added, we would love to hear about it. The software is designed to allow us to add in specific modules or functionality that can fit almost any need. There is a link within the software to contact us regarding these requests.

      In addition, our Enterprise product allows for organization-specific customizations that we would be happy to work with you on.

  • Question:
    Can we change our CoreBridge URL?
    • Answer:

      Yes. In fact, we encourage it. There are detailed instructions of how to do this in the Setup Wizard and in the Management Module of the system. Customizing your URL enhances your company image to your customers and employees.

  • Question:
    Can we install CoreBridge on our own server?
    • Answer:

      We don't offer an installable version of our software. CoreBridge is only available as a hosted product. This reduces cost and headache on your end by allowing us to maintain the servers, security, backups, and all the updates and improvements needed.

  • Question:
    Do you provide phone support?
    • Answer:

      Phone support is availabe for an additional monthly fee, or as part of our Enterprise product, however it is generally not needed. Every new client gets personal training via the web/phone with one of our qualified account managers. Also included in every plan is unlimited support via email. We do our best to respond to every email within a few hours of receiving it. We also make sure a well trained technician or manager answers the email. We do not outsource our support to unqualified support staff.



Permissions and Privacy

  • Question:
    Does everyone in my company have access to the same information?
    • Answer:

      All access rights in the CoreBridge Management System are user based. This means you can restrict what each user sees based on what permissions you give them when you set them up. For example, a sales person may have access to see a customers account terms but they won't have access to grant credit or change credit terms, or a designer might have access to all the jobs in the queue but will not be able to see any pricing associated with the jobs.

  • Question:
    What do my customers see when they login?
    • Answer:

      Your customers have limited access to their jobs only. When they log in they are greeted by their name and their company logo, appearing along side your logo. They will have access to view their order history, current estimates and current orders. They will have the ability to see the real-time status of any orders in progress. You have the ability to customize what this shows. For instance, if you have sent a job to a vendor your internal system might show "Job at Vendor", while the customer sees "In Production". They will also have access to view and approve their proofs and estimates and make any desired changes before it is finalized. Other options are also available such as allowing your customers to pay their bills online or even ordering new products through the e-commerce module.



Security

  • Question:
    Is the CoreBridge Management System reliable and secure? Is my data safe? Who has access to my data?
    • Answer:

      Our security strategy is to protect your data at multiple levels, which includes data security, data integrity, and data privacy. Our production systems are located in a leading co-location facility in the United States. Production web, application, and database servers along with network equipment are housed in a suite at the co-location facility with an armed guard present 24x7. To access the suite there are several levels of security that must be passed where each entry point provides state of the art card readers, biometric scanners, and other access devices. We limit access to production systems to authorized personnel only. Access to the facilities requires photo, encoded ID, and palm print. Our Operating Systems and databases do not share the same passwords. Database users are restricted to a controlled list; individual activities are restricted, logged and monitored.

      Our network is protected by redundant firewalls and monitored for unauthorized access. Firewall logs are constantly monitored, and the logs are reviewed on a regular basis. The network has been architected to be highly reliable and redundant. If a router, load balancer, or firewall should fail, there is a redundancy built in that would allow failover to take place.

  • Question:
    Is our data backed up in case of an emergency?
    • Answer:
      All of your data is stored on highly redundant storage systems. The database servers are configured in either a RAID 5 or RAID 1 (mirror) configuration. The main data, and archive and logs, are written not only to this primary storage sub system on the server, but also written to network attached storage which has its own built in redundancy, thus providing an extra layer of data protection. Even if one disk or server fails, nothing will be lost and the system will not go down. Our uptime is over 99%.

      We also enable you to download and backup your data as often as you see fit. You own your data and can retrieve it at any time.



Web Browsers, Softwares, and Operating Systems

  • Question:
    What web browsers work with the CoreBridge Management System?
    • Answer:

      The CoreBridge Management System will work with all the latest major web browsers. Tested web browsers include the latest version of Internet Explorer, Firefox, and Chrome. We highly recommend you upgrade your browser to the latest version for maximum benefit.

  • Question:
    Is there any software I must install in order to use the CoreBridge Management System?
    • Answer:

      The simple answer to this is no. All functions of the software are web-based and work without having to install any software. However, there is a desktop application that can be installed that is only needed for integration with QuickBooks. This application simplifies the information syncing process and is available for download with complete instructions from the accounting module of the management system.
